Privacy Policy

Last updated: July 3, 2026

This Privacy Policy explains how AdminSphere collects, uses, shares, and protects the information you provide when you visit our website or request a demo of our platform for trust, corporate, and fund administration. We are committed to handling your data transparently and in line with applicable data protection laws.

1. Who We Are

AdminSphere provides a managed software platform, built on Salesforce, for trust companies, corporate services providers, fund administrators, management companies, and family offices. This Privacy Policy applies to the AdminSphere marketing website at www.admsphere.com (the "Site") and to the information we collect through it.

For the purposes of applicable data protection law, the data controller responsible for your information is AdminSphere LLC, 1187 Waterview ln, Weston, FL 33326. If you have any questions about this policy or how we handle your data, you can reach us at info@adminsphere.net.

This policy covers information collected through our Site only. It does not cover the processing of data that takes place inside a customer's own Salesforce environment, where the customer is the controller and AdminSphere acts as a software provider under a separate agreement.

2. Information We Collect

When you request a demo or otherwise contact us through the Site, we collect the business-contact details you choose to provide. These typically include:

  • First and last name
  • Business email address
  • Company or firm name
  • Job title / role
  • Phone number and country calling code
  • Country
  • The service area(s) you are interested in (corporate fiduciary, fund administration, private wealth, management companies, or investment vehicles / GPs)
  • Any additional details you include in the message field

We ask only for business-contact information needed to respond to your enquiry. Please do not submit sensitive personal data, client information, beneficial-ownership details, or other confidential material about the entities or individuals your firm administers through this Site — those belong inside your firm's secured systems, not a website enquiry form.

We also collect certain information automatically when you browse the Site, such as your IP address, browser and device type, referring pages, and how you interact with the Site. This is collected through cookies and similar technologies, as described below.

3. Cookies and Analytics

We use cookies and similar technologies to operate the Site, remember your consent preferences, and understand how visitors use our content. Cookie consent on the Site is managed through Cookiebot, which lets you accept or decline non-essential cookies and change your choice at any time.

We group cookies into the following categories:

  • Strictly necessary — required for the Site to function and to store your consent preferences. These are always active.
  • Statistics / analytics — set only with your consent, these help us measure traffic and improve the Site. We use Google Analytics for aggregated, non-identifying usage statistics.

Where cookie auto-blocking is enabled, non-essential scripts such as Google Analytics are held back until you provide consent. You can withdraw or change your consent at any time through the cookie banner.

4. How We Use Your Information

We use the information you provide to:

  • Respond to your demo request, question, or enquiry
  • Arrange and follow up on product demonstrations
  • Send you information about AdminSphere's platform, features, and services relevant to your firm
  • Understand which service areas and jurisdictions are of interest so we can tailor our response
  • Improve the Site, our content, and our offering
  • Maintain the security of the Site and prevent misuse
  • Comply with our legal and regulatory obligations

We do not use the information you submit through the Site to make automated decisions that produce legal or similarly significant effects, and we do not sell your personal information.

5. Legal Bases for Processing

Where the EU or UK General Data Protection Regulation applies, we rely on the following legal bases:

  • Your consent — for non-essential cookies and analytics, and where you ask us to send you marketing communications.
  • Steps taken at your request prior to entering a contract — to respond to and follow up on your demo request or enquiry.
  • Our legitimate interests — to operate and promote our business, understand our audience, and keep the Site secure, balanced against your rights.
  • Compliance with a legal obligation — where we are required to retain or disclose information by law.

6. How We Share Your Information

We share your information only as needed to run our business and respond to you. Recipients may include:

  • Salesforce — demo requests and enquiries submitted through the Site are recorded as leads in our own Salesforce CRM, which we use to manage and follow up on your request.
  • Google — where you consent to analytics cookies, aggregated usage data is processed by Google as our analytics provider.
  • Cookiebot (Usercentrics) — our consent-management provider, which records your cookie preferences.
  • Professional advisers, and authorities where we are legally required to disclose information.

We require our service providers to protect your information and to use it only for the purposes we specify. We do not sell or rent your personal information to third parties.

7. International Data Transfers

AdminSphere serves firms across multiple jurisdictions, and some of our service providers (including Salesforce and Google) operate internationally, including in the United States. As a result, your information may be transferred to and processed in countries other than your own.

Where such transfers take place from the EEA, UK, or another region with data-transfer restrictions, we rely on appropriate safeguards, such as the European Commission's Standard Contractual Clauses or an equivalent recognized mechanism.

8. Data Retention

We keep the information you submit for as long as needed to respond to your enquiry and manage our relationship with you and your firm, and thereafter only as long as required for legitimate business or legal purposes. When information is no longer needed, we delete it or anonymize it.

9. Your Rights

Depending on your location, you may have the right to:

  • Access the personal information we hold about you
  • Ask us to correct inaccurate or incomplete information
  • Ask us to delete your information
  • Object to, or ask us to restrict, certain processing
  • Request a copy of your information in a portable format
  • Withdraw consent at any time, without affecting processing carried out before withdrawal
  • Lodge a complaint with your local data protection authority

To exercise any of these rights, email us at info@adminsphere.net. We will respond in accordance with applicable law.

10. Data Security

We take the security of your information seriously. Enquiries submitted through the Site are transmitted over encrypted connections and stored in our Salesforce environment, which runs on infrastructure certified to recognized security standards. We apply appropriate technical and organizational measures to protect against unauthorized access, loss, or misuse. No method of transmission over the internet is completely secure, however, and we cannot guarantee absolute security.

11. Children's Privacy

The Site is intended for business professionals and is not directed to children. We do not knowingly collect personal information from anyone under the age of 16.

12. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. When we do, we will revise the "Last updated" date at the top of this page. We encourage you to review this policy periodically.

13. Contact Us

If you have any questions about this Privacy Policy or wish to exercise your rights, contact us at info@adminsphere.net, or write to AdminSphere LLC, 1187 Waterview ln, Weston, FL 33326.
